Start with the agent workspace
Connected to Instagram does not mean answered in Teams
The Meta connection governs the account, permissions and supported event types. Separately, the product workflow determines whether a DM appears as a Teams-channel post, in an external inbox or merely as a notification.
A defensible shortlist therefore needs four proofs: what arrives, where an agent takes ownership, how the reply returns and which Instagram or Meta policy limits the response window or message type. The word omnichannel does not answer those questions.
Four documented operating models
WebChat, Tidio, Lime Connect and Chatwoot compared
| Tool | Instagram prerequisite | Agent work | Scope and Teams position |
|---|---|---|---|
| WebChat | Professional/business account, Meta login and Facebook link in the guide | Selected Teams channel; thread reply with @WebChat | Instagram DM and return reply documented; pilot exact event types and token behaviour |
| Tidio | Business account, linked Facebook Page and message access; creator accounts excluded in the guide | Tidio Inbox | DMs, story mentions, replies and reactions documented; Teams return path not explicit |
| Lime Connect | Instagram/Facebook business link and permissions | Lime Connect Message Center | DMs and story reactions; post comments excluded; no native Teams workflow verified |
| Chatwoot | Business account and Instagram Business Login; distinguish cloud and self-hosted setup | Chatwoot Inbox | Receive and reply to Instagram messages; no native Teams-channel reply path verified |
Setup
Connect accounts, permissions and routing under control
- 01
Define the target model
List the Instagram accounts, DMs, story activity and Teams departments that are genuinely in scope.
- 02
Prepare Meta assets
Resolve business or professional status, linked Facebook Page, Business Manager, administrators and message access before vendor login.
- 03
Connect a test route
Use a non-production Teams destination or test inbox first and authorise only the permissions required by the documented flow.
- 04
Exercise each event type
Send a new DM, story reply, mention, reaction and deliberately a post comment; record exactly what is received.
- 05
Test reply and recovery
Reply from the real agent workspace, verify Instagram delivery and simulate token expiry, permission withdrawal and reconnection.
Proof-of-concept acceptance
Seven checks before production approval
- Map multiple Instagram profiles unambiguously to Teams channels or inboxes.
- Ensure internal Teams comments cannot accidentally be sent to Instagram.
- Test response windows and recovery after a deliberately late reply.
- Check images, links, emoji, long messages and unsupported interactions.
- Simulate concurrent replies, assignment, absence cover and escalation with real roles.
- Document Meta, vendor and Microsoft audit logs plus token and permission owners.
- Review DPA, subprocessors, Meta transfers, retention, deletion and export for the selected model.
